This Request for Quotations (RFQ) is for cleaning and degreasing cafeteria kitchen exhaust hoods, filters, fan blades & motors, and all ducting from the kitchen to the exterior exhaust point at the U.S. Embassy in Guinea-Conakry. The U.S. Government intends to award a firm-fixed-price contract or purchase order to the responsible company submitting an acceptable offer at the lowest price.

• Inspect, clean, and degrease cafeteria kitchen exhaust hoods, filters, fan blades & motors, and all associated ducting.

• Services to be performed on an annual basis.

• Work must be performed by properly trained, qualified, and certified personnel.

• Conduct a test run of the fan motor before and after cleaning.

• Open duct access panels as necessary for thorough cleaning, notifying the Contracting Officer if additional access is required.

• Seal any identified leaking duct joints.

• Provide service reports, including identification of faulty parts requiring replacement.

• Clean the floor, surrounding surfaces, and the general work area after service completion.

• Protect electrical and kitchen equipment, worktops, and surrounding areas with plastic or canvas sheets before work.

• Ensure thorough cleanup after completion; no residual grease should remain.

• Contract Type: Firm-fixed-price purchase order.

• Period of Performance: One-year base period, with four one-year optional periods.

• Estimated Value: Not explicitly stated, but pricing is requested in GNF or USD.

• Evaluation will consider price, acceptability of offeror's compliance with RFQ terms (including technical information), and contractor responsibility (financial resources, ability to comply with performance period, integrity, organization, experience, skills, equipment, facilities, and eligibility).

• Offerors must be registered in the System for Award Management (SAM) database prior to submission.

• Offerors must provide proof of SAM registration (SAM UEI number).

• Offerors must operate an established business with a permanent address and telephone listing in the Republic of Guinea or plan to establish an office within 30 days of contract award.

• Offerors must include Defense Base Act (DBA) insurance premium costs.

• Offerors must provide evidence of prior experience with relevant past performance information and references (contracts over the past 2 years).

• A pre-quotation conference will be held on Wednesday, March 04, 2026, at 10:00 AM (local time) at the US Embassy Guinea-Conakry.

• Prospective offerors/quoters must contact SyllaIK@state.gov by Friday, February 27, 2026, for additional information or to arrange entry.

• Value Added Tax (VAT) is not applicable due to the U.S. Embassy's tax exemption.

• Work hours are Monday-Thursday 15:00-18:00 and Friday 13:30-18:00 (excluding holidays).

• Services must be scheduled at least two weeks in advance and will be conducted between April 1 and May 30.
