Scope of Work
The selected contractor will provide comprehensive event coordination for two distinct events:
- Pre-Conference On-Site Planning Event (April – June 2026): Support for approximately 18 attendees over 4 nights, including securing a block of 72 tax-exempt guest room nights and ensuring access to a suitable conference room. Attendees will be responsible for their own hotel reservations and payments.
- Workshop Event (July – August 2026): Support for approximately 300 Hydrologists, Hydrologic Technicians, and Database Administrators over 6 nights. This includes securing tax-exempt guest rooms, coordinating on-site parking, providing meeting room signage, and managing Audio Visual (AV) equipment and support (USGS will provide laptops). The contractor will also ensure Wi-Fi access, coordinate meeting and exhibit spaces at the Bryant Conference Center and Hotel Capstone, and manage exhibitor booths (requiring a minimum of 5,000 sq. ft. for 30 easels). Logistics include inner-city shuttle services between hotels and the Bryant Center/USGS Hydrologic Instrumentation Facility (HIF), and package management.
- Shuttle Services: A Firm Fixed Price airport shuttle service between Birmingham-Shuttlesworth International Airport (BHM) and Tuscaloosa, AL, is required and will be priced under a separate Contract Line Item Number (CLIN). Inner-city shuttles will also be coordinated.
