All rooms must be ADA compliant, with specific AV and setup requirements detailed in the "AV Room and Equipment Chart" attachment.
  • Audio-Visual (AV) Equipment & Support: Comprehensive AV setup for all meeting rooms, including microphones, projection screens, audio mixers, laptop connections, power strips, and reliable Wi-Fi. Technical assistance for setup and operation is required.
  • Food & Beverage: Daily continental breakfast, morning and afternoon breaks, sit-down plated lunches (with a boxed lunch on Day 3), and a reception with hors d'oeuvres and non-alcoholic beverages. Catering is for 70-85 individuals daily. An all-day food and drink package with a per-person rate is required.
  • Lodging: A block of 40 sleeping rooms per night for three nights (July 14-17, 2026) at or below the federal per diem rate. Participants will pay directly, but the contractor must provide the room block and tax exemption for government IDs. Secure luggage storage on Day 3 is also required.
  • General Requirements: ADA accessibility throughout the facility, transportation options/parking (max $48/day), and an assigned on-site event coordinator.

  2. Past Performance: Requires three references for similar services within the past three years, evaluated on timeliness, customer service, and corrective actions.
  3. Price: Evaluated against the Independent Government Price Estimate (IGPE) using the provided pricing sheets. Technical and Past Performance combined are more important than price.
