Purpose and Scope
This requirement supports an indoor conference for the 300th Military Intelligence Brigade (Linguist) to discuss national-level issues within the Military Intelligence and language communities. The contractor will provide a climate-controlled, ADA-compliant venue with a minimum of 10 years of experience hosting professional conferences, located within 0.5 miles of public transportation in the Salt Lake Valley. The vendor is required to be onsite for meeting space coordination.
Facility Requirements
The venue must accommodate:
- General Session: Minimum 20,000 sq ft, seating for 1,100 people (theater style), 2 drop-down screens/projectors, internal A/V system, staging, and streaming capabilities for live online broadcast. Specific A/V support is needed for VIP panels and town halls.
- Breakout Sessions: Six separate spaces, minimum 3,000 sq ft each, seating for 250 people (theater style), with power outlets. Government will provide A/V for breakouts.
- Registration: Separate space for up to 100 people, supporting a two-stage registration process (website then onsite check-in).
- Exhibitor Booths: Adequate space for 20-30 exhibitor booths (6' tables, no pipe and drapes required).
