Statement of Work (SOW) / Performance Work Statement (PWS)

To provide a family-oriented resiliency retreat for Active Duty and Reserve members and their eligible dependents, aimed at developing personal and spiritual resources, functional ability, mental toughness, spiritual maturity, and acceptance of responsibility.

• Provide lodging for 20 adults, 25 children, and 2 Chaplain Corps Staff for two nights.

• Offer family-oriented recreational activities, team-building facilities, and conference rooms.

• Include meals: 5 meals per participant (2 catered breakfast buffets, 1 lunch voucher, 2 dinner vouchers).

• Provide meeting space for adult conferencing and childcare, equipped with audio-visual support.

• Offer on-site aquatic/recreational amenities, team-building infrastructure, family bonding activities, and a group rally point.

• Accommodate specific dietary requirements.

• Lodging: 10 rooms with double queen beds for participants (accommodating families of four), 2 rooms with double queen beds for staff. Each unit must have a shower, tub, refrigerator, safe, and access to a microwave.

• Meeting Space: Minimum of two clean/sanitized meeting rooms for 50 participants with audio-visual support. One room for childcare, one for adult conferencing. Rooms must be within a five-minute walk of lodging.

• Childcare Room: Ability to separate babies from toddlers, DVD compatible equipment for movies, and streaming options.

• Meals: Catered buffets prepared onsite; meal vouchers for lunch and dinner equal to commercial market value.

• Dates: Primarily 14-16 August 2026, with flexibility for government-rescheduled dates (30-90 days' notice).

• Location: Within 120 miles of Lackland Air Force Base (less than two hours' drive).

• Accommodation must be smoke-free and family-friendly.

• Venue must be able to accommodate participants ranging from toddlers to teenagers.

• Contractor must provide visible signage with event information.

• Contractor must support specific dietary requirements and restrictions.

Request for Information (RFI)

This RFI is issued by the 502d Contracting Squadron on behalf of the 688th Cyberspace Wing (688 CW) Chaplain Corps to conduct market research. The government is seeking information on potential sources capable of providing a comprehensive, family-oriented retreat for approximately 20 adults and 25 children, plus staff, from August 14-16, 2026. This RFI is for planning purposes only and does not constitute a Request for Quote (RFQ). Participation is strictly voluntary, and no reimbursement will be provided for costs incurred.

• Attendance: Up to 20 adults, 25 children, and 2 Chaplain Corps staff members.

• Lodging: Twelve (12) rooms for two (2) nights.

• Meals: Buffet-style breakfast, lunch, and dinner served in a private conference room.

• Facilities: A conference room capable of seating all attendees, with access to on-site family-oriented recreational activities and team-building facilities.

• Amenities: Standard audio/visual equipment, furniture (tables and seating), and family-friendly amenities (e.g., highchairs, changing tables).

• Pricing: All costs for meals, conference space, and amenities must be included in a single, nightly room rate.

• Environment: The facility must be completely smoke-free and family-friendly.
