Scope of Work
The selected contractor will be responsible for planning, coordinating, and executing a three-day American Fair from October 2-4, 2026, at Mayfair Market in Nakhon Ratchasima. Key responsibilities include developing a comprehensive event plan, managing logistics, coordinating with vendors, designing themed zones (e.g., main stage, educational, agriculture/gastronomy, business, games, children's, F&B), and implementing promotional activities. The event aims to create an authentic U.S. state or county fair atmosphere.

Contract Details
This is a Firm Fixed-Price Purchase Order. The period of performance spans a Planning Phase (May-September 2026), an Execution Phase (October 2-4, 2026), and a Post-Event Phase (November 2026). Payment will be made in installments based on milestone completion. This acquisition is unrestricted.
Eligibility & Requirements
Offerors must be registered in the System for Award Management (SAM) database and possess at least four years of direct experience as an event organizer for a fair. The Embassy will cover the base venue rental for Mayfair Market, but the contractor is responsible for all other venue-related costs, including permits, licenses, security deposit, utilities, cleaning, waste disposal, security personnel, equipment rental, and any overtime fees. A generator is required, and its costs must be included. Mandatory requirements include a first-aid response team and ambulance on standby, and Defense Base Act (DBA) insurance as a separate line item. VAT is not applicable; all pricing must be submitted strictly VAT excluded.
Submission & Evaluation
Quotations must be submitted electronically to soontare@state.gov by June 4, 2026, 15:00 PM Bangkok time. Submissions must be in English, using MS-Word, MS-Excel, or Adobe Acrobat (PDF) format, with individual file sizes not exceeding 30MB. Required documents include SF-1449, Section 1 (Pricing), additional information as per Section 3, and a strategic framework/plan/presentation. Award will be made to the lowest priced, acceptable, responsible offeror, based on evaluation of technical information, past performance, and price.
