BD PYXIS SYSTEM™ (INCLUDES THE BD PYXIS, BD LOGISTICS, AND BD IV PREP SYSTEMS)

Statement of Work (SOW) / Performance Work Statement (PWS)

To provide onsite and remote service and support for BD Pyxis, BD Logistics, and BD IV Prep systems, including hardware and software, at the Providence Veterans Affairs Medical Center (PVAMC) and associated outpatient clinics in Rhode Island and Massachusetts.

• Provide all labor, personnel, equipment, tools, materials, and supervision necessary for the services.

• Support includes the following systems:

  • BD ES Platform (Medstations, Anesthesia Systems, Refrigerators, Smart Remote Managers, Software Licensing, etc.)
  • BD IV Prep System (Cato Software Subscription, MAPortal 3, Gravimetric Pack, Barcode Printers, etc.)
  • BD Logistics System (Carousel, Handheld Scanner, Software Licensing, etc.)
  • Interfaces between the three BD Systems.

• Service coverage extends to multiple VA locations within Rhode Island and Massachusetts.

• Contract period: April 1, 2026, to March 31, 2027.

• Service coverage: 24 hours a day, 7 days a week, 365 days a year through a technical support center.

• Remote troubleshooting for Pyxis equipment via Technical Support Center (TSC) 24/7/365.

• IV Prep Technical Support: Monday-Friday, 8 am-5 pm PST.

• HealthSite Technical Support: Monday-Friday, 6 am-5 pm PST.

• Guaranteed response time for on-site support if remote troubleshooting fails: within 24 hours.

• Contractor must provide updated electronic equipment user manuals and notify of maintenance frequency changes.

• All equipment maintenance to follow manufacturer's schedule.

• Field service and preventive maintenance reports to be provided to the VA.

• Patching of servers must be initiated by 7 am EST.

• Customer training to be provided once for designated personnel.

• Period of Performance: April 1, 2026, to March 31, 2027.

• Locations: Providence VA Medical Center, Eagle Square VA Clinic, Middletown VA Clinic, New Bedford VA Clinic, and Hyannis VA Clinic.

• Contractor must provide Personal Protective Equipment (PPE).

• All media to be retained by PVAMC upon replacement or removal.

• On-site personnel must be escorted by VA personnel and not work with medication dispensing systems without VA observation.

• Contractor must schedule all maintenance and service activities in advance with the VA.

• Contractor must provide a list of all equipment serviced by a third-party vendor.

• Contractor must comply with OSHA Bloodborne Pathogens Standard.

• Strict adherence to VA Information and Information System Security/Privacy Language, including training, background checks, and data handling.

• Compliance with Records Management Language, including government ownership of data and restrictions on use/disclosure.

• Adherence to security incident reporting and liquidated damages for data breach clauses.

• Contractor must provide a quote for non-contract equipment break/fix services.

Sources Sought Notice

This notice is for market research purposes to identify qualified vendors capable of providing services and equipment for the BD Pyxis™ System, which includes the BD Pyxis, BD Logistics, and BD IV Prep systems. The government is seeking information on vendors' capabilities to perform onsite and remote service and support for these integrated systems.

The Providence VA utilizes BD equipment for medication dispensing, inventory management, and IV compounding. The procurement covers services and supplies for the BD Pyxis™, BD Logistics™, and BD IV Prep™ systems, which are integrated with each other and with VISTA/CPRS. The services will be performed at the Providence VA Medical Center and associated outpatient clinics in Rhode Island and Massachusetts.

• ES Platform System: Includes ES Medstations, Auxiliary Columns, ES Anesthesia Systems, ES Refrigerators, Medication Label Modules, Smart Remote Managers, Software Licensing, Enterprise User Management, CII Safe, and ES Servers.
• IV Prep System (Cato): Includes Cato Software Subscription, MAPortal 3 (for <150 beds), IV Prep Gravimetric Pack, Barcode Printers, and IV Prep Servers.
• Logistics System: Includes Logistics ES Software Licensing, Carousel and accessories, Handheld Scanner, and Logistics Servers.
• Interface: Requires Pyxis Check Software License and HealthSite Viewer.

April 1, 2026, to March 31, 2027.

• This is NOT a Request for Proposal (RFP). No pricing information should be submitted.

• Interested vendors must submit a written Capability Statement (2-5 pages) by March 5, 2026, 14:00 EST.

• The Capability Statement must confirm the company's ability to provide all services and equipment.

• Companies must be an OEM BD Pyxis authorized source; services and equipment cannot be split.

• Submit OEM authorization letter and/or partnership agreement.

• Identify country of manufacture for units.

• Provide warranty information.

• Confirm ability to start work on 4/1/2026.

• Include Company Legal Name, Address, Point of Contact email, Business type/size, and SAM.gov UEI number.

• Interested parties must be registered in SAM.gov at time of award.

• SDVOSB and VOSB firms must be CVE certified.
