Quick Summary
The General Services Administration (GSA) is conducting market research through a Request for Information (RFI) to identify commercial solutions for an artwork-focused Collections Management System (CMS). This system will support the management of GSA's extensive Fine Arts Collection. Responses are due by 10 AM ET on March 23, 2026.
Purpose & Scope
GSA's Office of Public Buildings Information Technology Services (PB-ITS) seeks to investigate commercially available CMS platforms to inform its acquisition strategy, deployment model considerations (on-premise, cloud-based, or hybrid), and potential scope refinement for a future competitive procurement. The CMS is critical for managing and tracking over 27,000 artworks in the Fine Arts Collection, including permanently installed, moveable, and New Deal pieces, supporting their lifecycle from acquisition and conservation to public access and the Art in Architecture commissioning process.
Information Requested from Vendors
Vendors should provide details on:
- Their artwork collections management tool, addressing core functions (e.g., object records, acquisition, conservation, inventory, digital asset management).
- Product flexibility, customizability, and required technical knowledge.
- Experience with data conversion (specifically Microsoft SQL) and migrating large volumes of digital media assets.
- Examples of current government or commercial clients, with a focus on federal government experience.
- How their solution differentiates from competitors.
- Client support models (onboarding, training, ongoing support).
- Technology stack and product roadmap.
- Cloud options, including on-premise/client server and cloud-based/SaaS solutions, detailing infrastructure, security, compliance (e.g., FedRAMP), and data segregation.
- How deployment models support secure delivery of read-only information to internal and public websites.
