Statement of Work (SOW) / Performance Work Statement (PWS)

To define the scope, deliverables, timeline, and responsibilities for installing modern Audio-Visual (AV) and conferencing technology in one small (8-12 occupants) and one large (20-25 occupants) conference room. The goal is to enable high-quality collaboration and hybrid meetings.

Small Conference Room: Installation of specific Shure microphones, speakers, mute button, Crestron camera and mount, Samsung 70" 4K TV, Intel NUC, and AV control interface. Includes cable routing, table connections, and rack infrastructure.

Large Conference Room: Installation of two Shure microphones, speakers, mute button, Crestron camera and mount, Crestron DM NVX, two Samsung 85" 4K TVs, Intel NUC, and AV switching/control system. Includes cable routing and table inputs.

Common Tasks: Removal of existing wall-mounted TV shadow boxes, patching drywall, device configuration and calibration, cable labeling, end-user training, and providing as-built diagrams.

• Optimized room acoustics and clear audio for in-room and remote participants.

• Seamless video conferencing with intuitive controls.

• Resolution of deficiencies identified during testing.

• Location: Southeastern Power Administration Headquarters, 1166 Athens Tech Road, Elberton, Georgia 30635.

• Timeline: Milestones include Project Kickoff, Final Design Approval, Procurement, Installation, Commissioning & Testing, and Training & Handoff (specific dates TBD).

• Assessment & Planning: Comprehensive site survey required to evaluate existing infrastructure (network, power, ceiling structure, AV pathways) and identify vulnerabilities.

• Procurement & Installation: Contractor provides all labor, materials, transportation, tools, and equipment. Rewiring and organization of AV cabling to industry standards.

• Training & Documentation: Provide training for IT personnel and deliver comprehensive documentation (system diagrams, equipment lists, maintenance guidelines).

• Warranty & Support: Minimum one (1) year warranty on equipment, materials, and workmanship. Three (3) years of system support and maintenance (remote and potentially onsite).

• Client Responsibilities: Provide access, ensure active network drops and power, confirm ceiling tile load capacity.
