Scope of Work
The contractor will provide comprehensive maintenance and support for the 2026 Cotton Testing Instruments (CTI/HVI) units at Memphis, TN. Key services include:
- Full-service maintenance and repairs, encompassing parts, labor, and supplies.
- Technical support via phone, video, text, or email for troubleshooting.
- Full replacement of broken or malfunctioning parts.
- On-site repair services as needed.
- Software updates for HVI units.
- Preventative maintenance, including cleaning, component replacement, filter replacement, and alignment to factory presets.
- Maintaining an inventory of certified working spare parts. Maintenance services specifically exclude electrical work external to the equipment, damage from accident, neglect, misuse, power failures, or humidity control issues.

Submission & Evaluation
Offerors must submit pricing for all items to be considered responsive. Evaluation will be based on Technical Approach, Price, and Past Performance. Award will be made to the offeror presenting the most technically advantageous solution, provided the price is fair and reasonable, and past performance is acceptable or neutral. The Technical Approach will assess the offeror's ability to meet schedule requirements and provide detailed explanations for any unmet requirements. Past Performance will be rated as Acceptable, Neutral, or Unacceptable. Offerors must hold prices for 90 calendar days.
