Quick Summary
The National Archives and Records Administration (NARA) is conducting a Sources Sought / Request for Information (RFI) to identify commercially available software products for a Digital Asset Management System (DAMS). This system will manage various categories of audio-visual assets to support NARA's mission. Responses are due by May 1, 2026, at 1:00 PM ET.
Scope of Work
NARA seeks a flexible DAMS solution capable of file storage, management, discovery, and sharing for diverse data types including photo, video, audio, text, graphic design, CSV, and scientific instrument data. Key requirements include:
- Supporting internal and external users for uploading, viewing, and downloading assets.
- Ingesting and managing records according to lifecycle and retention rules, compliant with NARA records management standards.
- Connecting to Amazon Web Services (AWS) S3 buckets.
- Migrating approximately 65 TB of existing audiovisual data and managing a total of 1450-2000 TB over five years.
- Providing timely access, administration, user management, audit trails, secure data transfer, scheduling, disposition, metadata management, search, organization, storage, and integration with existing NARA IT solutions (e.g., Google Suite, AWS).
- Comprehensive user training and data migration services.
Detailed functional and non-functional requirements are outlined in Attachment 1 (RVTM), covering areas such as metadata management, search & retrieval, security (FedRAMP authorization, MFA), performance, and Section 508 accessibility.
