The solicitation details specific Contract Line Item Numbers (CLINs) for the following items, all of which must meet the form, fit, and function of Brand: eVerbatim, Inc. and be compatible with eVerbatim, Inc.-brand Eclipse Vox AI Systems:

• CLIN 0001: Hybrid Kit (49 EA) - Custom adapter/cable assembly to connect EVAS traditional kit with Microsoft Teams.

• CLIN 0002: Digital Recorder System (49 EA) - Purpose-built kit for EVAS system connection or standalone audio backup.

• CLIN 0003: Gooseneck Microphones (11 EA) - Gooseneck-style microphones for legal proceedings.

• CLIN 0004: Batteries/Chargers (82 EA) - For EVAS Backup Digital Recorder and Gooseneck Microphones (NiMH/NiCD rechargeable, AA and AAA sizes).

• CLIN 0005: Transformer (20 EA) - Step-down from 230VAC to 110VAC for EVAS audio subsystem.

• CLIN 0006: Electronic foot pedal (49 EA) - To control EVAS Audio Subsystem and transcription software.

• CLIN 0007: USB-C hub (72 EA) - For EVAS Audio Subsystem interfaces at speaker locations.

• CLIN 0008: Direct shipping and delivery (1 LOT) to Joint Base Andrews Naval Air Facility, MD 20762.

• CLIN 0009: 12-Month Hardware Warranty Renewal (12 MO).

• CLIN 1001, 2001, 3001, 4001: Option Periods 1-4 for 12-Month Hardware Warranty Renewal (12 MO each).

• This will be a firm-fixed price contract.

• Pricing for all CLINs must be provided to be deemed technically acceptable.

• Pricing must include required delivery to Ramstein, Germany.

• Response Date: 16 February 2026 at 3:00 PM Central European Time (CET).

• Quote Validity: All submitted quotes must remain valid for 180 days from the close of the RFQ.

• Submission Method: Via email to SrA Cole West (cole.west@us.af.mil) and Aubreeana Taylor (aubreeana.taylor@us.af.mil).

• Evaluation: Award will be made to the responsible offeror whose offer conforms to the solicitation and is most advantageous to the Government, based on price and other factors considered. Evaluation will be based on price and the offeror's ability to meet delivery and specification requirements. Only new equipment will be accepted; re-manufactured or grey market items will not. Quotes must include a manufacturer's warranty.

• Basis for Award: The Government may award without discussions but reserves the right to enter discussions. Award will be made on the initial evaluation of the sole source vendor's quote received, pending a determination of fair and reasonable pricing. The Government reserves the right to reject any quotations received after the suspense date.

• Registration: All firms must be registered and active in the System for Award Management (SAM) database to be considered for award.

• Requirements: Quotes must include registered UEI, CAGE code, and Tax ID, and small business status.

• Sole Source: The document indicates this is a sole source requirement, pending a determination of fair and reasonable pricing.

• Questions regarding the solicitation are due by 12:00 PM CET on 13 February 2026.

• Delivery is FOB Destination, 30 Days upon receipt of Order.
