Performance Work Statement (PWS)

To provide hotel rooms and conference space for a medium-sized conference (150 attendees expected) in the National Capitol Region from August 24-28, 2026.

• Accommodation: Provide 150 single rooms at or below the US government per diem rate for Washington, D.C., for check-in on August 24, 2026, and check-out on August 28, 2026.
• Event Space: Offer 1 large conference area capable of hosting 200 attendees and 8 break-out rooms, each seating 30 persons. Wifi connectivity must be available for all participants.
• Audio/Visual:
  • Main Conference Room: Requires 2 screens, a projector, podium, speakers, at least 4 microphones, and wired internet for video/audio teleconferencing.
  • Break-Out Rooms: Each requires 1 screen, 1 projector, a speaker, at least 4 microphones, and wired internet for video/audio teleconferencing.

Performance must be in accordance with all applicable laws, standards, instructions, executive orders, commercial practices, and requirements in this PWS.

• Dates: August 24-28, 2026

• Location: National Capitol Region

• Hours of Operation: Services required between 6:00 A.M. - 6:00 P.M. throughout the contract duration.

• Security: Routine entry and exit of the venue should be monitored by hotel staff.

• Contingency Operations: The contractor must be prepared to perform emergency and special event services upon notification by the Contracting Officer (CO) during crises or contingency disturbances. These services will be priced separately.

• Government Furnished Property (GFP) and Services: The US Government will not provide any equipment, fuel, personnel, utilities, or facilities. Only basic life-saving and life support measures will be provided during an emergency.

• The Contracting Officer (CO) will follow specific regulations regarding remedies for contractor failure to perform satisfactory services.

• Individual attendees will pay for their rooms, not to exceed the government per diem rate.
