Quick Summary
The Department of Veterans Affairs (VA), specifically the Veteran’s Health Administration (VHA), is conducting a Sources Sought to identify software solutions for real-time surveillance, alerting, documentation, and reporting of VistA Orders. This requirement aims to enhance the management and tracking of patient orders, particularly for the South Texas Veterans Health Care System (STVHCS), by replacing inefficient paper-based and non-integrated systems. Responses are due January 29, 2026.
Purpose and Background
The VHA currently faces challenges with complex and time-consuming order management due to electronic, paper-based, and non-integrated systems. Delayed or misplaced orders can negatively impact patient care, timely discharges, and overall quality. The VA seeks a workflow tool to streamline order coordination, reduce manual effort, and improve accuracy, thereby freeing up staff to focus on patient care.
Scope of Work
The requirement is for a unique, web-based software platform, such as the Order Tracking Manager Suite (OTM) for Radiology, that provides real-time order information and dashboard status for each clinical service delivery department. Key features include:
- Bi-directional integration with VISTA and CPRS using existing VA-approved interfaces only.
- Real-time display and updates of order information.
- Provision of licensing, initial on-site training, product setup/configuration, installation, and ongoing support/maintenance.
- Kick-off implementation, workflow assessment, configuration, system/user acceptance testing, and workflow analytics support.
- Routine support (Monday-Friday, 8:00 am – 7:00 pm CST) and 24/7 emergency coverage.
- The product must be listed on the VA Technical Reference Model (TRM) Technology/Standard List.
- Capability for multiple queries across medical departments, drill-down for customized workflow reports, and task assignment to users/roles/locations.
- Tracking order progress from creation to completion and automatic task movement through queues.
- Assignment of a dedicated Account Manager and an alternate.
