JB MDL Kitchen Exhaust Hood Maintenance

Statement of Work (SOW) / Performance Work Statement (PWS)

To provide all management, tools, supplies, equipment, and labor necessary for the preventative maintenance, repair, and certification of commercial kitchen exhaust systems at Joint Base McGuire-Dix-Lakehurst (JB MDL).

• Perform annual, semi-annual, and quarterly preventative maintenance and certifications on commercial kitchen exhaust systems, including plenum water wash fire protection systems.

• Ensure all exhaust systems are certified in accordance with government regulations, industry standards (ANSI, NFPA, OSHA, IKECA, NADCA), and manufacturers' requirements.

• Clean systems using environmentally approved degreasing materials and methods.

• Inspect mechanical systems, components, electrical controls, fan blades, motors, belts, filters, and fusible links.

• Coordinate repairs of mechanical, electrical, and structural deficiencies.

• Perform minor repairs (material cost < $100) within 4 days.

• For major repairs (material cost > $100), provide a written quote within 24 hours and await CO authorization before proceeding. Repairs to commence within 2 days of authorization and complete within 8 days.

• Certify each exhaust system after maintenance/repair and provide a certification document/report within two weeks.

• Attach a waterproof/grease-proof certification label to each exhaust hood.

• Respond to service calls within one business day.

• Prepare and submit legible written reports for all maintenance, repair, and certification activities within two weeks of completion.

• Inspections: 100% of hoods, ductwork, and plenums.

• Cleaning: 100% of hoods, ductwork, and plenums as required.

• Repairs: 95% completed within allotted timeframes.

• Certifications: 100% completed.

• Service Calls: 100% responded to within allotted timeframes.

• Reports/Documentation: 100% current and available.

• Location: Joint Base McGuire-Dix-Lakehurst.

• Normal Hours of Operation: 7:00 AM to 4:00 PM, Monday through Friday, excluding federal holidays.

• After-hours cleaning may be required for facilities with extended food preparation operations.

• Contractor personnel must comply with all base regulations, conduct themselves professionally, and wear uniforms and mandatory badges.

• Contractor must provide an employee roster and identification badges.

• Adhere to tobacco policy (no smoking within 50 ft. of facilities, fuel tanks, generators, or marked areas).

• Comply with all safety and accident reporting requirements, including use of personal protective equipment.

• Vehicles must be registered and comply with JB MDL directives.

• Obtain restricted area badges and coordinate escort services as needed.

• Maintain physical security of all base restricted areas and secured facilities.

• Comply with environmental laws and regulations, including proper handling and disposal of solid waste and reporting of spills.

• Submit Safety Data Sheets for all materials 15 days prior to use for COR approval.
