Statement of Work (SOW)

To provide hotel lodging for participants of a workshop hosted by the Volpe Center on behalf of the U.S. Department of Defense, supporting the sustainability of partner-nation sponsored maritime surveillance systems.

• Provide up to three room blocks with specific dates and room counts:

  • Block 1: Up to 12 rooms from July 09, 2026 (Check In) to August 16, 2026 (Check Out).
  • Block 2: Up to 5 rooms from July 09, 2026 (Check In) to August 16, 2026 (Check Out).
  • Block 3: Up to 1 room from July 18, 2026 (Check In) to July 25, 2026 (Check Out).

• Rooms must be located within 0.75 miles of 220 Binney Street, Cambridge, MA.

• Rooms must be furnished with kitchen amenities (refrigerator, microwave, cook top/conventional oven, dishwasher, pots, pans, utensils, serving dishes, silverware) and include internet service.

• The rate shall not exceed the Federal Fiscal Year 2026 per diem rate of $291.00 per night.

• The Contractor is responsible for incidental charges secured by occupants (credit card or refundable deposit up to $100.00).

• The Contractor is responsible for collecting telephone bills for occupant calls.

• The Contractor must resolve any damage claims caused by occupants and notify the Volpe Center Technical Point of Contact within 24 hours of the incident.

• The Volpe Center will provide a tentative rooming list 7 days prior to arrival.

• Final room numbers will be confirmed 7 days prior to arrival.

• Cancellation of rooms up to 7 days prior to arrival will not incur cancellation costs.

• Period of Performance: July 09, 2026, through August 15, 2026.

• Place of Performance: Within 0.75 miles of 220 Binney Street, Cambridge, MA.

• Contractors must be registered in the System for Award Management (SAM).

• Proposals must include:

  • Detailed room description and hotel amenities (written or brochure/pamphlet, PDF acceptable).
  • Completed Lodging Requirements Checklist.
  • Distance from Volpe (220 Binney Street, Cambridge MA 02142).
  • Verification of active SAM registration (Unique Entity Identification number).
