Scope of Work

The required logistical support encompasses comprehensive services for meetings and conferences. This includes, but is not limited to:

  • Taking notes and recording meeting minutes.
  • Preparing meeting materials (e.g., name badges, table tents, binders, posters).
  • Compiling CDs of meeting materials for attendees.
  • Locating and securing meeting rooms.
  • Facilitating satisfaction surveys.
  • Coordinating hotel arrangements and travel.
  • Providing and setting up audio/visual (AV) equipment.
  • Assisting in the planning and execution of conferences with FTA points of contact and facility providers.
  • Monitoring planning progress and addressing issues.

Submission Requirements

Interested vendors must submit a capabilities package, not exceeding 5 pages, in Microsoft Office Word with Times New Roman 12 Font. The package must address:

  • Anticipated Labor Categories and Staffing expectations for Program Manager, Senior Meeting Planner/Event Facilitator, Event Planner, and Meeting Registrar/Admin Support Specialist, including qualifications.
  • How the company would accommodate uncertain meeting/conference numbers and expectations from the FTA.
  • Any perceived gaps or areas needing greater detail in the Statement of Objectives (SOO) for a future Request for Proposal.
  • Company's legal name, NAICS code, CAGE code, and business size.
