This document is a Sources Sought notice, not a Request for Quotation (RFQ). Its purpose is to conduct market research to determine industry interest and capability for a requirement at MacDill Air Force Base. The anticipated requirement is for FITNESS EQUIPMENT MAINTENANCE AND REPAIR.

• Set-Aside: The government is considering a 100% small business set-aside.
• Attachments: A Statement of Work (SOW) dated 25 February 2026 and an Equipment List are attached.

Interested parties must submit a capabilities package that includes:

• Company DUNS, Cage Code, and SAM expiration date.
• Any related specifications/drawings.
• A brief description of the company's business size (annual revenues, employee size).
• Business status (e.g., 8(a), HUBZone, SDVOSB, WOSB, VOSB, small business).
• Anticipated teaming arrangements.
• Description of similar services offered to the Government and commercial customers.
• Explicit demonstration of capabilities, including commercial sales and product specifications.
• Indication of whether the firm is a manufacturer or the name/size of the manufacturer.
• Status as a Foreign-owned/foreign-controlled firm and any contemplated use of foreign national employees.

Responses are due no later than 13 March 2026 at 3:00 PM EST.

Statement of Work (SOW)

To procure preventative maintenance and repair services for a variety of fitness equipment at the Short Fitness Center.

• Provide bi-monthly maintenance and troubleshooting for cardio and weight machines.

• Services must adhere to Original Equipment Manufacturer (OEM) recommendations.

• Includes inspection, cleaning, lubrication, calibration, adjustment, and testing of equipment.

• Specific tasks include:

  • Cleaning and lubricating moving components (bearings, guide rods, pivots, joints).
  • Calibrating speed sensors, belts, and tensioning systems.
  • Troubleshooting malfunctioning treadmills and recommending parts.
  • Vacuuming dust and debris from electronic and drive systems of cardio machines.
  • Cleaning exposed surfaces of all equipment.
  • Inspecting, testing, and adjusting belts, bolts, nuts, and screws (as maintenance, not repair).
  • Functional testing under normal operating conditions.
  • Visual inspection for wear, fatigue, or potential future service needs.
  • Confirming electrical circuit requirements for treadmills and high-demand equipment.
  • Inspecting for observable safety concerns.

• "Over and Above Repairs" outside the scope of bi-monthly maintenance require notification to the FSS POC.

• If a machine is unavailable during a scheduled visit, it will be serviced during the next scheduled visit.

• Place of Performance: Short Fitness Center, 8115 Cypress Stand St, Building 303, Tampa, FL 33621.

• Work Schedule: Monday-Friday, 05:00 – 17:00.

• Contractor personnel must be qualified/certified service providers as applicable.

• Contractor personnel must be U.S. citizens and able to pass security screening for MacDill AFB.

• Contractor must establish administrative, technical, and physical safeguards to protect nonpublic Government data.

• Travel associated with services is included in the Firm Fixed Price; no separate travel CLIN will be included.

• Any additional repairs and service calls beyond bi-monthly maintenance will be issued via individual task orders.
