Scope of Work
The contractor shall provide comprehensive preventative maintenance services for the EDAX X-Ray Spectroscopy tools, specifically the EDAX EDS Detector for Helios 660 (serial number 4773), to ensure proper function, maximum accuracy, and precision, minimizing downtime. Key services include:
- Annual Preventative Maintenance: At least one on-site visit per year, including labor, living expenses, and travel, to return the system to full operational condition meeting OEM specifications.
- Software Updates: Provision of the latest TEAM software updates and upgrades on CD for installation.
- On-Site Hardware Support: Unlimited on-site visits for support and repair of malfunctions, including labor, living expenses, and travel. Replacement parts must be equivalent or better quality at no additional cost. Covered components include the EDS Detector (Octane Super-A), Silicon Drift Detector Module, and Helios Support Computer Analyzer.
- Remote Technical Support: Email and telephone support available Monday-Friday, 0800-1500 Pacific Time (excluding Federal Holidays).
- Performance Standards: Contractor must respond to DMEA within four (4) hours for support requests during normal business hours. If a site visit is required, the contractor must report to DMEA within five (5) business days of the reported issue.

This is a Sole Source procurement. The justification is based on the proprietary nature of the software and hardware, and the fact that Gatan, Inc. (resulting from the merger of EDAX and Gatan, Inc. in January 2026) is the Original Equipment Manufacturer (OEM) and does not certify third-party service providers.

Contractor personnel performing on-site services must be US citizens and provide two (2) business days advance notification for any on-site activity. All DMEA security policies must be followed, including checking laptops and recording devices.
