Request for Information (RFI)

This RFI is issued solely for information and planning purposes to gain knowledge of potential qualified sources and their size classification relative to NAICS 513210 (size standard of $47 million). The Department of Veterans Affairs (VA), VISN 22 Network Contracting Office, is seeking sources for a Smartsheet Gov License solution. The project aims to design and implement a centralized, scalable Smartsheet solution for VA Long Beach leadership to provide real-time visibility into strategic initiatives and projects, align work to strategic priorities, standardize project structures, and automate reporting.

The contractor will implement a Smartsheet GOV environment configured for portfolio and project management, including:

• Establishing a single, portfolio-level view of initiatives, projects, and KPIs using dashboards, reports, and sheets.
• Designing and configuring standardized project templates (e.g., A3s, KPI tracking, status reporting) and associated workflows.
• Implementing Control Center for automated project creation, change management, resource planning, and project archiving (up to 5,000 active projects).
• Implementing Data Shuttle to automate data movement and syncing between Smartsheet assets and source/target systems.
• Configuring real-time dashboards for portfolio health, status, risk, and progress visibility.
• Enabling cross-team visibility to see related work, reduce duplication, and improve collaboration.

Interested and capable sources should provide:

• Company name, address, point of contact.
• Business size status (SDVOSB, VOSB, HUBZone, WOSB, Large Business, etc.) and whether considered small under NAICS 513210.
• Manufacturer or distributor status and country of origin.
• For small businesses, details on any alteration, assembly, or modification of items.
• Information on existing FSS/GSA/NAC/NASA SEWP or other federal contract holders, and availability of items/solutions.
• General pricing for products/solutions for market research.
• Capabilities regarding salient characteristics and "equal to items".

Responses must be received no later than 05/20/2026, at 12:00 p.m. Pacific Standard Time (PST).
