Submission Requirements & Payment

• Site Visit: Interested parties can arrange a site visit for facility inspection by emailing pretoria_quotations@state.gov and kriekjx@state.gov with reference PR15890635.
• Delivery:
  • Indicate expected delivery date/lead time.
  • International (outside US/SA): Include door-to-door delivery to 30 Gemsbok Street, Koedoespoort, Pretoria, South Africa 0186. A Certificate A for customs exemption will be provided.
  • Within US: Include shipping to freight forwarders in North Brunswick, New Jersey.
  • Within South Africa: Include delivery charge, if applicable.
• Payment Terms: Fixed-price contracts only; no deposit payments. Prices must remain fixed, and vendors must account for potential fluctuations in their quoted price. Payment will be made via EFT within 30 calendar days after delivery and receipt of invoice.
• Legal Documents: As a diplomatic mission, the Embassy cannot sign legal documents like credit applications or T&C's; submission of a quote waives such requirements.
• Registration: All parties must be registered in SAM.gov (System for Award Management) and provide their Unique ID.
• NDAA Compliance: Complete the attached NDAA form, specifically addressing FAR clauses 52.204-25, 52.204-24, and 52.204-26 regarding telecommunications and video surveillance services/equipment.
