Statement of Need (SON)

To procure and install self-contained relaxation pods for service members at Buckley SFB to support their mental resilience by providing a private, immersive environment for mindfulness, meditation, and stress-reducing activities.

• Provide and install three (3) self-contained relaxation pods.

• Pods must be fully enclosed, self-operated, and fit within a small office footprint (no greater than 8' x 10' per unit).

• Pods must offer a private, quiet space for users to recline and engage in automated, pre-set programs.

• Product Overview:

  • Mission Goal: Provide a secure, private, and quiet space for automated programs.
  • Primary Function: Fully enclosed pod for reclining and completing pre-set programs (meditation, mindfulness, stress reduction).
  • Session Duration: Configurable programs from 15 to 45 minutes.

• Physical & Structural:

  • Enclosure: Fully enclosed for privacy and quiet.
  • Form Factor: Ergonomic contour bed with soft cushioning.
  • Spatial Constraints: Max 8' x 10' footprint per unit.

  • Ease of Use: Minimal skills required, suitable for unsupervised use.
  • Sanitization: Easy cleaning and disinfection of contact surfaces.
  • Sustainability: Engineered for minimal ongoing maintenance.

• Deliverable Due Date: NLT 60 days from receipt of award.

• Location: Buckley SFB.

• Warranty: Standard commercial warranties required.

• Security & Access: Contractor personnel must complete security screening and background checks. All personnel will be escorted by a government representative on installation.

• Connectivity: CAT-5 network connection for software updates.

• Installation: Plug-and-play solution requiring no special room construction or modifications.

Solicitation / RFP / RFQ

This is a combined synopsis/solicitation (RFQ FA254326Q0007) for the procurement of three (3) each GRT Relaxation Pods. The government intends to award a Fixed-Price Contract using a Lowest Price Technically Acceptable (LPTA) approach.

• Procurement of three (3) each self-operated, fully enclosed bed design relaxation pods.

• Deliverables must be completed within 60 calendar days After Receipt of Order (ARO).

• Contractor employees must be able to pass a background check to enter the installation and Restricted Area.

• Offerors must provide a technical description of how all required items within the Statement of Need will be accomplished.

• Offerors must include details of any warranty.

• Contract Type: Fixed-Price Contract.

• Period of Performance: 60 calendar days After Receipt of Order (ARO).

• NAICS Code: 339920 with a size standard of 750 employees.

• Set-Aside: 100% small business set-aside.

• Submission Deadline: Quotes are due by 9:30 AM MDT, Friday, 26 June 2026.

• Evaluation Criteria: Lowest Price Technically Acceptable (LPTA). Offers will be evaluated first for responsiveness, then for technical acceptability, and finally for price.

• This acquisition is a 100% small business set-aside.
