Quick Summary

The Department of Veterans Affairs (VA), Network Contract Office 10, is soliciting proposals for a hospital-grade, fully integrated trayline system for the Louis Stokes Cleveland VA Medical Center in Cleveland, OH. This unrestricted acquisition seeks a "brand name or equal" turnkey solution to replace an outdated system, enhancing operational efficiency and food safety. Proposals are due Friday, May 15, 2026, at 5 PM EST.

Opportunity Overview

The VA intends to procure a trayline system compatible with existing facility infrastructure, requiring no major construction or utility modifications. The new system must operate within current electrical, plumbing, and ventilation capacities. The acquisition is for a complete, integrated solution, including furnishing, delivery, removal of existing equipment, installation, configuration, testing, and making the system fully operational.

Scope of Work

The turnkey solution requires specific components such as a Hot Food Server (4-5 wells), Gravity Shelf System, Non-Refrigerated and Refrigerated Tray Tables, a Refrigerated Storage Unit (B-Cool Type or equivalent), and Mobile Tray and Heated Plate Dispensers. All components must function as a single, cohesive system. The contractor is responsible for minor adjustments to utilities if needed. On-site training for staff is also required. Implementation, including delivery and installation, must be completed within 90 calendar days from the date of award.

Site Details & Clarifications

The facility prepares for approximately 400 servings daily, with an average census of 375. The government is open to modifying the current trayline configuration, including removing a half wall and relocating refrigerators. Both sides of the existing trayline are operational (cold/hot), though some conveyor parts are missing. Electrical and plumbing services are necessary for the new system. The current printed tray ticket process will remain unchanged. A loading dock is available near the nutrition and food services areas for access. A floor plan of the Dietetics Area is provided for bidder reference.
