Purpose

Scope of Work

The selected contractor will serve as a broker to secure hotel/lodging facilities that meet specific requirements.

  • Facility Criteria: Hotels must be within 10 miles of the OKC VA Medical Center, possess a minimum 3 diamond/3-star rating, be non-smoking, fully furnished (Bed(s), Telephone, TV, Refrigerator), and ideally offer two beds to accommodate a caregiver. A minimum of 10 rooms per day (including two ADA compliant) must be reserved for VA veterans, with potential for additional requests. Pet-friendly accommodations are preferred at no additional cost for veterans, and no fee for certified service dogs. No 'Blackout Dates' or seasonal rate changes should apply.
  • Contractor Responsibilities: Include finding alternative facilities if primary choices are unavailable, managing invoices, serving as a single point of contact for issues, monitoring hotel compliance with safety and health regulations, and identifying any provided meals and their costs.
  • VA Responsibilities: The VA will arrange room reservations and release unreserved rooms by 6 p.m. daily. The VA is not responsible for parking fees or shuttle service costs, though shuttle service to/from the Medical Center and airport is recommended.
