Performance Work Statement (PWS)

To provide non-personal, firm-fixed-price services for the New Mexico Army National Guard (NMARNG) Yellow Ribbon Reintegration Program (YRRP) Post Deployment event.

• Provide a venue in or near Albuquerque/Rio Rancho, NM, accommodating up to 450 attendees.

• Services include a display area, meeting rooms, audio/visual equipment, childcare, lodging, and food.

• The event is scheduled for June 19, 2026, with lodging required on June 18-19, 2026.

• General Session Room: Accommodate 450 people with tables and chairs from 06:00 a.m. to 5:00 p.m. on June 19, 2026. Includes registration tables and staff.

• Breakout Rooms: Three adult rooms (classroom style, 100 chairs each) and two youth rooms (one for ages 6-18 up to 30, one for ages 0-6 up to 20). All rooms require A/V equipment, internet, and refreshments.

• Provider Display Area: 20 display tables with chairs in the foyer area.

• Audio/Visual: Equipment for general session and breakout rooms, including power, sound, internet, and screens. NMARNG will provide computers.

• Food & Refreshments: Light refreshments for 450 people, including options for children, vegan, dairy-free, and other dietary restrictions. Menus to be finalized seven days prior.

• Parking: Ample parking for approximately 350 vehicles at no cost to attendees.

• Lodging: 50 double occupancy rooms required for participants traveling 150+ miles, checking in June 18 and out June 19, 2026.

• Childcare: Providers for up to 20 youth (ages 0-5) and up to 30 youth (ages 6-18). Providers must be licensed, background checked, insured ($500,000 liability), and certified in First Aid/CPR. Age-appropriate toys and activities required.

• Walkthrough completed by 1:00 PM the day before the event (100% compliance).

• Equipment in place and working order (95% compliance).

• Refreshments served on time with required quantity and quality (95% compliance).

• Parking available for 350 vehicles (100% compliance).

• Lodging rooms available for reservation and occupancy as specified (100% compliance).

• Location: Albuquerque/Rio Rancho, NM area (within 30 miles of 4001 Northwest Loop, Rio Rancho, NM 87144).

• Contractor is responsible for all staffing, labor, equipment, supplies, and supervision.

• Contractor employees must abide by venue regulations.

• Government will not reimburse for additional food or items requested by individuals.

• Contractor travel, lodging, and food are the sole responsibility of the contractor.

• A Contract Manager (CM) must be designated.
