• Venue: A conference venue in the Columbus, OH area (within 60 miles of zip code 43213) capable of hosting a general session for 275 adults (crescent rounds), two counseling rooms, registration tables, and 15-20 exhibit tables. Two breakout rooms for 75-100 adults each are also required, subject to availability. All spaces must be available from 0630-1800 on February 7, 2026. Ample complimentary parking for approximately 220 vehicles is mandatory.
• Lodging: A 10-room block (8 double queen, 2 single) for check-in on February 6, 2026, and check-out on February 7, 2026. The lodging venue must offer complimentary parking for 10 vehicles and provide continental breakfast at no additional cost. The room block must be at a single hotel.
• Catering: A hot buffet lunch for approximately 260 adults on February 7, 2026, from 12:00 PM - 1:00 PM. The menu must include specific items (salad, beef and chicken entrees, two sides, bread, dessert, beverages) and explicitly exclude "fast food" or "cold items." Coffee, tea, and water service are also required from 0900-1700.
• Audio/Visual: Comprehensive A/V equipment for general sessions and breakout rooms, including sound systems, microphones, laptop audio input, HDMI, projectors (min 10 ft diagonal screens), podiums, and stages.
• Staffing: An onsite employee representative (not hotel/venue staff) must be provided for the duration of the event.
