Scope of Work
The FPD requires a modern, software-based DMS that utilizes metadata for categorization and robust searchability. Key requirements include:
- Platform: Can be on-premises or cloud-based. Cloud solutions must be FedRAMP authorized at a moderate level or higher, or demonstrate efforts towards authorization.
- Features: Robust full-text search, metadata-based tagging, automated OCR and indexing, support for various document types, personal and global saved searches, bookmarking, document versioning with audit trails, versioned recovery, high availability (for on-premises), role-based access control, and offline/remote work support.
- Migration: The solution must provide a supported, repeatable process to migrate current DMS content, folder structures, and metadata, ensuring preservation and integrity.
- Training: Vendor-provided end-user training, tailored to FPD's use case, with remote or onsite options.
- AI Features: If included, AI features in on-premises offerings must be globally disable-able if not FedRAMP authorized. For cloud solutions, FPD data must not be used for training AI models for other organizations.
