Event Production for the G20 Finance Track Host Year

Request for Information (RFI)

This RFI is issued by the Department of the Treasury, Departmental Offices (DO), Office of International Affairs, for market research purposes. The government is seeking information on industry capabilities and recommendations for the design, creation, and production of event services for the G20 Finance Track meetings during the United States host year. This announcement is for informational and planning purposes only and is NOT a Request for Quote (RFQ) or Request for Proposal (RFP).

The RFI outlines requirements for two main events:

Event #1: Finance and Central Bank Deputies Meeting (Fort Lauderdale, FL)

• Plenary: Audio/Visual (sound reinforcement, microphones, video feeds, cameras, broadcast switching, lighting), Décor (hollow square table for up to 60, chairs for 54, backbencher seating for 80, room branding backdrops).
• Other CLINs: Lunchroom (no requirements at this time), Viewing/Listening Room (audio/video stream, classroom seating, power), Mother's Room (power, décor, lounge furniture), USG Staff/Work Meeting Room (audio, video, power), Internet Connectivity/Networking (dry network, staff Wi-Fi, delegate Wi-Fi - requires collaboration with Pinnacle Live), Bilateral Meeting Rooms (no requirements), Reception (capacity for 300), Prayer Rooms (drape, rugs, signs), First Aid Room (drape, table, chairs), Travel Costs, Freight and Trucking.

Event #2: Finance Ministers and Central Bank Governors Meeting (Asheville, NC)

• Arrival Area: Custom backdrop, decorative elements, uplighting.

• Main Plenary and Communique Drafting Room: Similar A/V and Décor requirements as Event #1 Plenary, plus space for interpretation booths.

• Main Dining Room: Breakfast/lunchroom for up to 300, G20 branding, decorative lighting.

• Side Event Room(s): (no requirements at this time).

• Information Desk: Counter-style booth with signage, backdrop, trash/recycling bins, chairs.

• Leaders Lounge Spaces: Lounge area with G20 branding, décor, furniture, power sources, and integration of production equipment.

• Bilateral Meeting Rooms: 9-12 spaces of varying size, some with conference tables and backbenchers, others with soft seating.

• Viewing Room: Listening/viewing room with A/V, power, and decorative lighting.

• Fed Hold Rooms & Treasury Hold Room: 70" TVs, power sources, soft seating.

• First Aid: Drape, table, chairs.

• Security Office: (no requirements at this time).

• USG Command Room: Power strips.

• Prayer Room: Drape, rugs, signs.

• Nursing Mothers' Room: Lounge furniture, lamp, power source.

• Simultaneous Interpretation: SI vendor to provide booths, microphones, video screens, etc. for 6 languages.

• General Décor and Signage: Creative deck following G20 branding guidelines (excluding specific rooms).

• Rigging: Requires collaboration with Pinnacle Live.

• Freight and Trucking: Detailed costs required.

• Labor: Detailed charges required.

• Internet Connectivity/Networking: Requires collaboration with Pinnacle Live.

• Transportation for Delegations: Costs per vehicle type, driver, and hour.

• Travel: Detailed estimated costs required.

• Include company background, SAM UEID, CAGE code, POC information, GSA number (if applicable), suggested NAICS/PSCs, company overview with experience examples, subcontractor/partner descriptions.

• Respondents must be able to perform at both venues (Fort Lauderdale, FL and Asheville, NC) and potentially offsite events, without subcontracting over 75% of the work.

• Experience producing multi-day, highly secure, technical events for over 500 attendees is required.

• Prior U.S. government federal contract experience is preferred.

• Immediate access to printing, furniture fabrication, and décor elements is preferred.

• Small Businesses are encouraged to respond.

• Respondents should indicate if they are an 8(a), HUB Zone, service-disabled veteran-owned, veteran-owned, women-owned, or economically disadvantaged women-owned small business to assist in determining acquisition method and potential set-asides.

• This RFI does not constitute a commitment by the government to issue an RFQ/RFP, contract, or order.

• The government will not pay for any effort expended or material provided in response.

• Reception: No requirements at this time, but must accommodate up to 300 participants.
• Prayer Rooms: Requires décor (drape, kneeling rugs, Mecca signs).

Event #2: Finance Ministers and Central Bank Governors Meeting (Asheville, NC)

• Arrival Area: Custom G20 backdrop, decorative elements, and uplighting.

• Main Plenary and Communique Drafting Room: Similar A/V, rigging, and power requirements as Event #1 Plenary, plus space for four simultaneous interpretation booths.

• Main Dining Room: Breakfast/lunchroom for up to 300, with basic G20 branding and decorative lighting.

• Side Event Room(s): No requirements at this time.

• Information Desk: Counter-style booth with G20 signage, backdrop, and basic amenities.

• Leaders Lounge Spaces: Lounge area with G20 branding, décor, production equipment covering, central entrance, and furniture.

• Bilateral Meeting Rooms: 9-12 spaces of varying size, some with conference tables, others with soft seating, requiring uplighting and decorative lighting.

• Viewing Room: Listening/viewing room with A/V and power at each table.

• Fed Hold Rooms / Treasury Hold Room: Require 70" TVs and power sources.

• First Aid: Requires drape and basic furniture.
