Quick Summary

The U.S. Embassy in Mexico City is soliciting proposals for Event Production Services to design, build, equip, staff, and manage its booth space at the Aldea Global event during the 2026 FIFA World Cup in Mexico City. This is a Solicitation for a firm fixed-price purchase order. The event aims to showcase culture, arts, and traditions, with the U.S. Embassy booth focusing on the Agricultural Trade Office (ATO) and Public Diplomacy sections. Proposals are due April 29, 2026, by 10:00 AM (Mexico City local time).

Scope of Work

The contractor will provide comprehensive services for an 18 x 4 meter booth, including:

  • Booth Design & Infrastructure: Unified visual concept, prominent "Freedom 250" logo, compliance with U.S. Department of State Brand System, display of approximately 40 ATO logos and 20 Public Diplomacy logos, integrated lighting, durable laminated flooring (over provided raised platform), and lockable storage. The Aldea Global event will provide the overhead structure (vulcanized canvas roof) and base structure.
  • Cooking Demonstration Area: Approximately 3 meters within the ATO space, equipped with electric grills, microwave, blender, refrigerators, prep surfaces, dedicated lighting, and ventilation (no gas/charcoal).
  • Visitor Area: Four high-top bar counters with stools and integrated storage.
  • Utilities & Safety: Sufficient power distribution (110V/220V), portable sink, trash disposal, ventilation/ceiling fans, two ABC fire extinguishers, and reliable Wi-Fi (min 50 Mbps download/20 Mbps upload). Contractors must provide their own water supply and manage drainage.
  • Audio/Visual & Promotional: Sound system, microphones, megaphone, 20 hours of photography/videography, creation of social media and website videos, and digital content formatting for booth displays.
  • Staffing & Operations: Two supervisors/managers and two staff members per shift to ensure continuous coverage for 12 days, including opening/closing, cleaning, restocking, and equipment operation. A staffing plan, rotation schedule, and cleaning/restocking plan are required. Staff should wear black dress pants and a white button-down shirt.
  • Logistics: Transportation, installation (setup June 7-9, 2026), on-site maintenance, and dismantling of all booth materials and equipment. Post-event delivery of visual materials via Google Drive.
