Scope of Work
Contractor shall provide a facility and services for a 3-day workshop for up to 200 participants. Key requirements include:
- Lodging: 5 double non-smoking guest rooms for May 15-17, and 35 double non-smoking guest rooms for May 16-17. The hotel must be 3-star or higher (AAA or Forbes rated), and cannot be a casino, hotel-casino, or motel (defined as lodging with external room entrances). Casino facilities should not be attached or next door.
- Meeting Space: One General Session Main Ballroom and three breakout rooms, each accommodating 50 participants. All rooms require round tables, water stations, note pads, pens, and room signage. The General Session room can be used as a dining area but not a breakout room. An Audio/Visual package (projector screen, microphone, podium sound system, laptop connections) and an on-site A/V technician are required for the General Session room only.
- Meals: Buffet-style breakfast, lunch, dinner, and a mid-morning snack, with vegetarian options. Beverages must be available throughout the entire event, and service staff are required during meal times.
- Parking: A firm minimum of 100 free, on-site parking spaces must be provided within a two-minute walk of the meeting space. Open surface parking is acceptable.
- Connectivity: Standard complimentary WiFi is required and must be guaranteed in both the general session room and all breakout rooms.
- Logistics: Meeting space, lodging, and meals must all be within the same property. Setup access is permitted on May 15th, with 4:00 PM (1600) being the latest acceptable time.
