Quick Summary

The Department of the Army is conducting market research through a Request for Information (RFI) for a Conference Room Upgrade at the Natick Soldier Systems Center (NSSC) in Natick, MA. This RFI seeks experienced vendors capable of providing full-service conference room and audio-visual (A/V) procurement and installation. This is not a solicitation for proposals, and no contract will be awarded based on this RFI. Responses are due May 13, 2026, by 5 PM EDT.

Scope of Work

The government is seeking design configuration ideas to update outdated conference room furniture and A/V equipment. Key areas of responsibility include:

  • Room Renovations: Carpet installation, painting, minor wall repairs, and conduit installation for two conference rooms (approx. 270"W x 300"L and 270"W x 360"L).
  • Accessory Renovations: Providing flag stands and updating wall-mounted logos/lettering.
  • Furniture Management: Removal and disposal of existing furniture, and installation of new furniture including a main conference table (seating 12-14) with power/LAN, 10 additional chairs, a side desk with A/V controls, and two credenzas (one with a refrigerator).
  • Equipment Modernization: Evaluation, upgrade, and replacement of A/V components such as ~70" screens, video conferencing systems, control stations, microphones, speakers, and associated cabling.
  • Compliance & Documentation: Ensuring all equipment is free of prohibited wireless technologies and delivering complete system documentation (source code, signal flow diagrams).

Interested parties must submit an Information Paper detailing their approach to meeting the requirements. Submissions should include:

  • Drawings/schematics for potential renovations.
