Purpose

This RFI aims to determine market capability and assess current industry capabilities in providing comprehensive conference room upgrades. The government is seeking design configuration ideas to update outdated furniture and A/V equipment that no longer meet requirements for day-to-day use and fast-paced conferencing environments, particularly those leveraging Microsoft Teams and Office 365.

Scope of Work

Vendors are requested to provide ideas and detail how they would meet requirements including:

  • Room Renovations: Carpet installation, painting, minor wall repairs, and conduit installation for two rooms (approx. 270"W x 300"L and 270"W x 360"L).
  • Accessory Renovations: Providing flag stands and updating wall-mounted organizational logos and lettering.
  • Furniture Management: Removal and disposal of existing furniture, and installation of new furniture including a main conference table (seating 12-14) with power/LAN, 10 additional chairs, a side desk with A/V controls and chair, and two credenzas (one with a refrigerator).
  • Lighting Upgrade: Installation of recessed lighting.
  • Equipment Modernization: Evaluation, replacement, and upgrade of A/V components, including two ~70" screens, video conferencing systems with two control stations, microphones, speakers, and all ancillary cabling.
  • Compliance & Documentation: Ensuring all equipment adheres to DoD security and compliance standards, is free of prohibited wireless technologies, and delivering complete system documentation (including source code and signal flow diagrams).

Information Requested from Vendors

Interested parties should submit an Information Paper detailing their approach, including:

  • Drawings/schematics to visualize potential renovations.
  • A Rough Order of Magnitude (ROM) cost estimate.
  • A Capabilities Statement highlighting experience with similar work, especially in secure DoD/government facilities, on-site support capabilities, and familiarity with specified compliance standards.
  • A point of contact and an authorized individual for agreements.

  • Site Visit: May 6, 2026, at 1:00 PM ET at Natick Soldier Systems Center (NSSC), Building 3, Room R-221. This visit is highly encouraged but not required.
