Scope of Work
The contractor shall provide all equipment, materials, and labor for the delivery, setup, tear-down, and removal of temporary tents, tables, chairs, linens, and outdoor furniture for the Commander's VIP Tent area. This includes:
- Tents: One 30’ x 50’ and one 30’ x 60’ white canopy tent.
- Anchoring: Sixteen 1800 lb. cement bases.
- Seating: 475 white plastic folding chairs, 6 three-person wicker couches, and 12 one-person wicker outdoor chairs.
- Tables: 40 sixty-inch round tables and 6 outdoor wooden side/end tables.
- Linens: 26 red, 26 white, and 28 blue round linens sized for 60-inch tables. The objective is to provide a professional environment for approximately 200 VIPs daily. Climate control, lighting, flooring, and AV capabilities are not required.
Period & Place of Performance
- Event Dates: June 27-28, 2026.
- Setup Completion: No later than June 25, 2026.
- Removal Completion: No later than June 29, 2026.
- Place of Performance: Flight line at Hill Air Force Base, Utah.
Special Requirements
Contractors must maintain sufficient insurance valid through the period of performance. Personnel require base access and are subject to vetting, with identification required. A qualified on-site representative must be present from 0600-1800 MDT on June 26-28, 2026, for maintenance and repairs. An on-call point of contact (POC) with a direct phone number must be available 24/7 for the entire period of performance (June 25 - June 29, 2026), with a response time of less than one hour for critical issues. An itemized price breakdown is preferred. The government will provide port-a-johns and hand washing stations.
Evaluation Criteria
Award will be made using the Lowest Price Technically Acceptable (LPTA) process. Offers will be evaluated based on:
- Technical Acceptability: Offerors must meet minimum technical requirements including price, past performance at similar events, and technical approach. Failure to meet any will result in a technically unacceptable proposal.
- Price: Only technically acceptable offers will have their prices evaluated. The award will go to the responsible offeror with the lowest evaluated price among the technically acceptable offers.
