Scope of Work
The selected contractor will be responsible for:
- Daily Mail Operations: Daily mail pickup from SAVAHCS (building 14 by 3:00 PM, Prosthetics Building 57 by 3:30 PM, Monday-Friday).
- Mail Processing: Handling various mail types including first-class correspondence, flats, standard mail, certified mail, and pharmaceuticals.
- Equipment Provision: Furnishing up to nine (9) metered mail machines for CBOCs, capable of processing up to 38" thick envelopes and 30 first-class envelopes per minute, with sealing capabilities and 24/7 technical support.
- Reporting & Compliance: Providing a daily "Customer Control Record" for pickups and a Daily Mail Report detailing costs and piece counts. Ensuring cost-effective mail processing using USPS services and immediate notification of transit delays.
- Security: Maintaining security of all mail until released to USPS, adhering to Privacy Act and HIPAA regulations.
- Mass Mailings: Processing mass mailings within specified timelines: 1-5,000 pieces in 2 working days; 5,001-10,000 in 3 working days; 10,001+ in 4 working days.
