2026 TAFB Air Show Tents, Tables, Chairs and Linens Rental

Sources Sought / Request for Information (RFI)

This Sources Sought notice is issued by the 60th Contracting Squadron at Travis AFB, CA, for informational purposes only. The government is seeking to determine the availability of businesses, including small businesses (Small Disadvantaged, HUBZone, 8(a), Service-Disabled Veteran-Owned, Woman-Owned), capable of providing tent, table, and chair rentals for the 2026 Travis AFB Wings Over Solano Airshow.

• Rental of tents, chairs, tables, and table linens.
• Linens must be uniform in color (all blue or all black, not mixed).
• Tables and chairs must be uniform in white.
• Tents must be uniform in white.
• Items will be delivered to and installed at pre-designated locations within the Air Show Venue area (concrete surface).
• Specific locations will be provided at a later date.
• Further guidance may be found in the attachment titled "2026 TAFB Air Show - Tents Tables Chairs SOW Draft".

This is a Sources Sought and does not constitute a Request for Quote (RFQ) or a commitment to contract. The Air Force is not currently seeking proposals and will not accept unsolicited proposals. The government will not pay for any information or administrative costs incurred in response to this RFI. All costs are at the interested party's expense.

This RFI specifically aims to identify small businesses, including various subsets (SDB, HUBZone, 8(a), SDVOSB, WOSB).

• Not responding to this RFI does not preclude participation in any future RFQ, if issued.
• All submissions become Government property and will not be returned.
• Information provided is subject to change and is not binding on the Government.

Statement of Work (SOW)

To provide, install, set up, and tear down event tents, tables, chairs, and table linens for the 2026 Wings Over Solano Air Show at Travis AFB, CA.

• Provision of event tents, tables, chairs, and table linens.

• Installation and setup on April 23, 2026, between 0800 and 2000.

• Removal of all equipment by 2359hrs on April 26, 2026.

• Services must ensure the safety and general well-being of Air Show attendees.

• Contractor is responsible for all personnel, equipment, tools, materials, supervision, licenses, quality control, and other necessary items.

• Compliance with all federal, military, state, and local laws and regulations is required.

• Tents:

  • 1x Commander's Tent (40'x80', 3 walls)
  • 1x Main Venue Entry Tent (40'x40', 2 walls)
  • 1x STEM Tent (40'x60', 2 walls)
  • 1x Thunder Bird's Friends & Family Tent (20'x40')
  • 1x EFMP Tent (20'x20', 4 sides with door/windows)
  • 1x Performer Tent (20'x20', 3 sided)
  • 1x Recruiter's Tent (20'x20')
  • 2x Media & Autographs Tents (15'x15')

• Tables:

  • 20x Cocktail Tables (dimensions TBD)

• Chairs:

  • 774x White Folding Chairs

• Linens:

  • 20x Cocktail Table Linens (Uniform color: Blue OR Black, not mixed)
  • 20x 6ft Round Linens (Uniform color: Blue OR Black, not mixed)
  • 24x 30"x72" Table Linens (Uniform color: Blue OR Black, not mixed)

• All tents must be uniform in color/shade of white. Tables and chairs must be uniform in color/shade of white.

• Delivery/Setup: April 23, 2026 (0800-2000)

• Removal: By April 26, 2026 (2359hrs)

• Location: Travis AFB, CA 94535

• Vehicles: Contractor must provide all necessary vehicles, which must have current registration and insurance.

• Working Conditions: Compliance with all federal, state, and local safety and fire codes.

• Contractor Employees: Must present a neat appearance, be capable of English communication, and have a designated representative with authority for contractual matters. Employees must not be identified as a threat to the installation.

• Base Security: Employees performing services within secured areas must obtain a security badge. The contractor must provide employee information for processing. Vehicle registration, proof of insurance, and a valid driver's license are required for vehicle registration. Employees must have required training and certifications.

• Safety: Compliance with all safety regulations, including OSHA.

• The document is a draft Statement of Work.
