Statement of Work (SOW) / Performance Work Statement (PWS)

To provide non-personal, firm-fixed-price (FFP) services for the New Mexico Army National Guard (NMARNG) Yellow Ribbon Reintegration Program (YRRP) Post Deployment event.

• Provide a venue and services to support a one-day training event for up to 350 attendees in Las Cruces, NM.

• Services include:

  • General session room with tables and chairs.
  • Registration tables and personnel.
  • Audio/visual equipment (projector, speakers, microphones, power, sound connection, internet access).
  • Breakout rooms (3 adult, 1 youth 6-18, 1 youth 0-6) with appropriate setup and amenities.
  • Provider display area with tables and chairs.
  • Light refreshments (including vegan, dairy-free, and allergy-conscious options) for 350 people.
  • Parking for approximately 250 vehicles at no cost.
  • Lodging for 80 double occupancy rooms for participants traveling 150+ miles (check-in June 11, 2026; check-out June 12, 2026).
  • Childcare services for up to 30 youth (ages 6-18) and up to 20 youth (ages 0-6), requiring licensed providers with background checks and CPR/First Aid certifications.

• Venue must accommodate up to 350 attendees.

• Driving distance to venue should not exceed 30 miles from the New Mexico National Guard Readiness Center.

• General session room available June 12, 2026, 06:00 a.m. - 5:00 p.m.

• Registration ready by 06:00 a.m. June 12, 2026.

• Walkthrough by 1:00 p.m. the day before the event.

• Breakout rooms and provider display area ready by 07:00 a.m. June 12, 2026.

• Refreshments and beverages served/available on time with required quantity and quality 95% of the time.

• Parking available for 250 vehicles 100% of the time.

• Lodging rooms available for reservation up to 6 p.m. on June 11th and available for occupancy 100% of the time.

• Childcare providers must maintain appropriate staff-to-child ratios and supply age-appropriate activities.

• Period of Performance: June 11-12, 2026.

• Place of Performance: Las Cruces, NM area.

• Contractor employees must abide by the regulations of the privately owned venue.

• Government will not reimburse for additional food or items requested by individuals.

• Menus to be finalized seven days prior to the event.

• Lodging rooms not reserved within 24 hours can be cancelled without cost.

• Childcare providers must be licensed and maintain specific insurance and certifications.

• A Contract Manager (CM) must be designated.

• Contractor travel, lodging, and food are the sole responsibility of the contractor.
